1. Who is responsible for your information?

2. Information we may collect

• Contact messages: information you provide when you use the contact form, such as your name, email address and message.
• Archive contributions: information you choose to provide with tapes, recordings, flyers, photographs, corrections or other archive material.
• Newsletter subscriptions: your email address and subscription preferences when you choose to subscribe.
• Technical and security information: information such as IP address, browser/device information, server logs and security events that may be processed by WordPress, hosting, anti-spam and security services.
• Analytics information: information about site use where analytics cookies or similar technologies are permitted and the required consent has been given.
• Embedded services: information processed by third-party services when you interact with embedded media, live streams, external shops or upload services.

3. Why we use information

Personal information may be used to respond to enquiries, manage archive contributions, administer subscriptions, maintain site security, understand and improve the website, comply with legal obligations and protect the rights of the archive and its visitors.

Depending on the activity, the lawful basis may be your consent, our legitimate interests in operating and protecting the archive, steps taken at your request before entering into an arrangement, or compliance with a legal obligation.

4. Newsletter

The newsletter is optional. If you subscribe, your email address is used to send archive updates. You can unsubscribe using the link supplied with subscription emails or otherwise withdraw your consent.

5. Contact forms and contributions

Information sent through the contact page is used to deal with your message. If you contribute archive material, relevant correspondence and contextual information may be retained so that we can understand the source, history, permissions and identification of the material.

Please avoid sending unnecessary sensitive personal information. If information about other people is included with a contribution, only provide what is reasonably necessary and lawful for the archival purpose.

6. Analytics, cookies and similar technologies

Rave Archive UK uses a consent-management system to control non-essential cookies and similar technologies. Where consent is required, non-essential analytics or tracking technologies should not be used until that consent has been given.

7. Services and recipients

The site is built on WordPress and may use service providers for hosting, security, spam protection, analytics, subscriptions, media, live streaming, file transfer and shop functionality. These can include WordPress/Automattic services, Google Analytics, Complianz, MediaFire, Mixcloud, Twitch, YouTube and the third-party service used by the shop.

When you follow a link to or interact with a third-party service, that provider may process information under its own privacy policy. We do not sell personal information to advertisers.

8. International processing

Some third-party service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, the relevant provider or arrangement should use an approved transfer mechanism or another lawful safeguard.

9. How long information is kept

Information is kept only for as long as reasonably necessary for the purpose for which it was collected, including responding to enquiries, maintaining the provenance of archive contributions, operating subscriptions, protecting the site, resolving disputes and meeting legal or accounting requirements.

Different records have different retention needs. Archive provenance and permission records may need to be retained for substantially longer than ordinary contact correspondence because they help establish the history and lawful use of preserved material.

10. Your rights

Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, data portability and withdrawal of consent.

These rights are not absolute in every situation; for example, information may sometimes need to be retained where there is a legal requirement or a valid archival, evidential or legal reason.

If you have a concern, please contact Rave Archive UK first so it can be investigated. You also have the right to complain to the UK Information Commissioner’s Office (ICO).

12. Security

Reasonable technical and organisational measures are used to protect the website and information handled through it. No online system can guarantee absolute security, so please use sensible care when sending information over the internet.

13. Changes to this notice

This Privacy Policy may be updated when the website, service providers, archive activities or legal requirements change. The current version published on this page will apply from the date of the update.
